ICTER (International Centre for Translational Eye Research) seeks a highly motivated Conference & Event Specialist with a strong background in organizing high-impact scientific events and communicating cutting-edge research to a global audience who can create engaging experiences for the academic and research community.
Key responsibilities
- Scientific Community Engagement – Work closely with researchers, institutions, and funding bodies to design events that foster collaboration and knowledge exchange;
- End-to-End Event Management – Plan, organize, and execute all aspects of the scientific events, ensuring seamless coordination from concept to completion;
- Program Development – Collaborate with stakeholders to shape the event agenda, coordinate speakers, and ensure engaging sessions;
- Logistics & Budget Management – Oversee and arrange venue selection, travel arrangements, liaise with external suppliers and accommodation for speakers and guests, catering and technical support while managing event budgets efficiently;
- On-Site Coordination – Ensure smooth event execution, handling any last-minute adjustments with professionalism;
- Digital & Hybrid Event Management – Utilize innovative platforms for online and hybrid event experiences, ensuring broad accessibility;
- Settlement and post-Event Evaluation – accounting for the event, preparing event reports, collecting feedback, analysing the success of the event and recommending improvements for future editions.
Our requirements
- Experience in organising scientific events (international conferences or large-scale events preferred);
- Experience in setting up and using registration systems and collecting abstracts;
- Experience in a conference organising committee;
- Excellent project management and work organisation skills, ability to multitask, and problem-solving skills;
- Ability to work effectively with researchers, funding institutions, organisations, and various stakeholders in an international environment;
- Fluency in spoken and written English C2 level as evidenced by a certificate;
- Attention to detail and ability to work under time pressure in a changing environment;
- Experience in organising online and hybrid events will be an advantage.
